The efficient hotkey flow is simple: choose a shortcut that does not conflict, keep the app ready in the background, click the destination field, then trigger saved text without switching apps.

Pick a shortcut that belongs to this job

Avoid shortcuts already used by your browser, editor, CRM, or operating system. A modifier-heavy shortcut is usually better than a single key because you are less likely to trigger text replay by accident.

Test the hotkey in a plain field first

Before using a long support reply or CRM note, test one sentence in a simple text field. Confirm the cursor is focused, press the hotkey, and make sure the text lands where expected.

Use Start Typing as a fallback

If the hotkey does not fire, click Start Typing from the app to verify the snippet and target field work. Then change the shortcut to one that is not being intercepted by the active app.
